Withdrawal Policy

Guidelines governing the withdrawal of manuscripts submitted to the Advanced Scientific Research Journal (ASRJ), while protecting authors, reviewers, editors and the integrity of the scholarly record.

Purpose of the Withdrawal Policy

The Advanced Scientific Research Journal (ASRJ) recognizes that authors may occasionally need to withdraw a manuscript after submission. Withdrawal requests must, however, be handled responsibly to protect the peer-review process, editorial resources and the integrity of academic publishing.

This policy explains when and how a manuscript may be withdrawn, the responsibilities of authors, and the circumstances under which the journal may restrict or decline a withdrawal request.

01

General Withdrawal Principles

Authors may request withdrawal of a manuscript before final publication, provided that the request is made in accordance with this policy.

  • Withdrawal requests must be submitted by the corresponding author or by an authorized representative of all authors.
  • The request should clearly state the reason for withdrawal.
  • All co-authors should be informed before a withdrawal request is submitted.
  • The journal may request confirmation from the authors where necessary.
  • Withdrawal does not automatically terminate editorial processing until the journal formally confirms it.
02

When Can a Manuscript Be Withdrawn?

📝

Before Peer Review

Authors may normally request withdrawal before the manuscript has entered substantive peer review.

🔬

During Peer Review

Withdrawal may be considered during peer review when there is a legitimate reason and the request does not improperly disrupt the review process.

📄

After Acceptance

Withdrawal after acceptance is generally discouraged and will be considered only in exceptional circumstances.

⚠️

After Publication

Once an article has been formally published, it is no longer treated as a normal manuscript withdrawal. Corrections, expressions of concern or retractions may be considered where appropriate.

03

Valid Reasons for Withdrawal

Examples of legitimate reasons for requesting withdrawal may include:

  • Discovery of a significant error that cannot reasonably be corrected through revision.
  • Ethical or legal concerns relating to the research.
  • Serious problems with the underlying data or methodology.
  • Authorship disputes that require resolution before publication.
  • Unavoidable circumstances that prevent responsible publication of the manuscript.
  • Duplicate submission identified before publication.
04

How to Request Withdrawal

Withdrawal requests should be submitted formally to the journal's editorial office.

1
Prepare the request

Include the manuscript title, manuscript ID or reference number, corresponding author details, and the reason for withdrawal.

2
Obtain author agreement

The corresponding author should confirm that all authors have been informed of the request.

3
Submit to the Editorial Office

Send the withdrawal request through the official journal communication channel.

4
Editorial confirmation

The withdrawal becomes effective only after written confirmation from the journal.

05

Withdrawal After Peer Review

Authors are strongly encouraged to make a withdrawal decision before substantial editorial and peer-review resources have been invested in a manuscript.

If an author requests withdrawal after peer review has begun, the editorial team may review the circumstances before approving the request.

Important: Authors should not submit the same manuscript to another journal while it remains under active consideration at ASRJ. A manuscript should first receive formal withdrawal confirmation from ASRJ.
06

Withdrawal After Acceptance

Withdrawal after a manuscript has been accepted for publication is strongly discouraged because substantial editorial, peer-review and production resources may already have been invested.

Such requests will normally be considered only where there are compelling circumstances, such as:

  • Serious errors affecting the validity of the research.
  • Significant ethical concerns.
  • Confirmed authorship or ownership disputes.
  • Legal or regulatory circumstances affecting publication.
  • Other exceptional circumstances determined by the editorial team.
07

Unethical or Improper Withdrawal

ASRJ considers withdrawal without a legitimate reason, particularly after significant editorial or peer-review work, to be potentially disruptive to the scholarly publishing process.

Examples of inappropriate practices include:

  • Submitting the same manuscript simultaneously to another journal without disclosure.
  • Withdrawing a manuscript simply to avoid an unfavorable editorial or peer-review decision.
  • Withdrawing after acceptance in order to submit the paper elsewhere without first obtaining formal confirmation.
  • Providing misleading information in a withdrawal request.
Publication Ethics Notice: Where inappropriate withdrawal is associated with duplicate submission, unethical conduct or other publication-ethics concerns, the journal may investigate the matter in accordance with its editorial and ethical procedures.
08

Withdrawal and Publication Charges

Any applicable publication, processing or administrative charges should be clearly communicated to authors through the journal's official policies.

Where substantial editorial or production work has already been completed, the journal may apply its published withdrawal or processing-charge policy, where applicable.

Transparency: ASRJ does not support hidden withdrawal charges. Any applicable fee must be disclosed to authors before it is imposed.
09

Withdrawal After Publication

A formally published article is part of the scholarly record and cannot ordinarily be treated as a simple manuscript withdrawal.

If serious problems are identified after publication, the journal may consider appropriate post-publication actions, including:

  • Correction or corrigendum.
  • Editorial clarification.
  • Expression of concern.
  • Retraction in cases of serious and substantiated problems.

Such actions are editorial decisions and are intended to preserve the accuracy and integrity of the scholarly record.

10

Editorial Withdrawal

In exceptional circumstances, ASRJ may withdraw a manuscript from consideration or publication when serious concerns arise regarding its integrity, legality, ethical compliance or suitability for publication.

Editorial Assessment

The editorial team evaluates the concern and available evidence.

Author Communication

Where appropriate, the authors may be contacted and given an opportunity to respond.

Editorial Decision

The editor determines the appropriate action based on the available evidence and applicable publication ethics principles.

Record Maintenance

Where necessary, an appropriate editorial notice may be retained to maintain transparency in the scholarly record.

11

Author Responsibilities

Authors submitting manuscripts to ASRJ are expected to:

  1. Submit original work that is not simultaneously under consideration elsewhere.
  2. Inform all co-authors about the submission and any withdrawal request.
  3. Provide truthful and complete information in withdrawal correspondence.
  4. Wait for formal withdrawal confirmation before submitting the manuscript elsewhere.
  5. Cooperate with the editorial team if questions concerning the withdrawal arise.
12

Frequently Asked Questions

Can I withdraw my manuscript at any time?

Authors may request withdrawal, but approval depends on the manuscript's current editorial stage and the reason for withdrawal.

Can I submit the manuscript elsewhere immediately?

No. Authors should wait until ASRJ has formally confirmed the withdrawal before submitting the manuscript to another journal.

What if I discover a serious error?

Contact the editorial office promptly. Depending on the stage of processing, the manuscript may be withdrawn or the issue may be addressed through revision or another appropriate editorial action.

Can a published article be withdrawn?

Published articles are normally handled through correction, expression of concern or retraction procedures rather than ordinary manuscript withdrawal.

Need to Withdraw a Manuscript?

Authors should submit a formal withdrawal request to the ASRJ Editorial Office with the manuscript identification details and a clear explanation of the reason for withdrawal. The editorial team will review the request and communicate the decision formally.
